What a receipt for payment must show

Make the receipt after the money has actually arrived. It confirms one payment, so it needs to answer who paid, how much, when, how, and what for. Include:

  • Your business name and contact details.
  • A unique receipt number.
  • The date you received the payment.
  • The customer’s name.
  • What the payment was for, ideally an invoice number.
  • The amount received and its currency.
  • The payment method: cash, check number, card, or bank transfer reference.
  • The balance still owed, if the payment was partial.
  • A signature, if the customer paid in cash.

How to make a receipt, step by step

  1. Confirm the payment arrived. Check your bank or card statement, or count the cash in front of the customer. A receipt for money you haven’t received is a problem waiting to happen.
  2. Give it a number. Use a simple sequence such as RCT-001, RCT-002, or tie it to the invoice number so the pair is easy to match.
  3. Fill in the payer, date and amount. Write the amount in figures, and for cash, in words too.
  4. Describe what was paid for. “Payment toward INV-231, bathroom fan replacement” is better than “services.”
  5. Record the method and reference. Check number, last four digits of a card, or the bank transfer reference.
  6. Show any remaining balance. If the payment was partial, state what’s still due so the receipt can’t be read as payment in full.
  7. Send a copy and keep one. Email or text the PDF, or hand over a paper copy, and file yours with the invoice.

Receipt for payment example

Receipt RCT-231 · 13 October 2026
From: Ruiz Home Repair
Received from: Maple Street Dental

For: Invoice INV-231, bathroom fan replacement
Amount received: $380.00 USD
Method: bank transfer, reference MSD-1013
Balance remaining: $0.00

If the office had paid $200 of the $380, the same receipt would show $200 received and $180 remaining. Never write the invoice total as the amount received when only part has been paid; the partial payment guide shows the full sequence.

How to write a receipt for cash, check, card or transfer

Cash is where receipts matter most, because the receipt may be the only record. Count the money with the customer, sign the receipt, and keep a copy. Checks can bounce, so either wait until the check clears or note “paid by check no. 1042” so the record shows how it was paid. For card payments, your card reader’s slip proves the transaction, and your own receipt adds what it paid for. For bank transfers, include the reference the customer used so either of you can find it on a statement.

Making receipts on your phone

Receipt books still work, but carbon copies are slow to search and easy to lose. In InvoiceMaker, open the invoice, tap Record payment, choose Full balance, Half or type the amount, then pick the method: bank transfer, card, cash, check, PayPal or other. The invoice balance updates and the receipt PDF references the invoice number, ready to send from your phone’s share sheet.

Questions

Can I write a receipt by hand?

Yes. A handwritten receipt is valid if it shows the same details: who paid, how much, when, how and for what. Keep a carbon or photo of each one, because a handwritten receipt is easy to lose and hard to search.

What is a receipt number?

It is a unique reference for that one payment, such as RCT-231. It lets you and the customer point to the same record, and a numbering sequence shows at a glance if a receipt is missing.
