Each visit has its own dated line, so the client can match the invoice to their calendar. The oven clean has its own line because the client asked for it on top of the standard clean.

How to fill in the cleaning invoice template

  1. Set the service period. For recurring clients, invoice once per period instead of after every visit.
  2. Tick the frequency so the client and anyone paying on their behalf know the arrangement.
  3. Add one dated line per visit with hours at your rate, or your flat rate per clean.
  4. List add-ons separately. Oven, fridge, windows and laundry are easier to approve as their own lines.
  5. Note missed or rescheduled visits and any cancellation fee you agreed on.
  6. Add the due date and payment details. Net 7 is common for regular house cleaning.

Billing tips for cleaning businesses

  • Agree on what a standard clean includes. A written checklist makes add-ons easy to justify.
  • Put your cancellation policy on the invoice as well as in your booking terms.
  • Send recurring invoices on the same day each month. Clients start to expect them and pay on schedule.
  • Offer more than one payment method. Many house cleaning clients prefer to pay by app or transfer rather than leave cash.

When a client pays, send a receipt; the payment receipt template or the receipt maker handles that. In the InvoiceMaker app you can save your standard clean and add-ons as services and pick from payment terms like Net 7, so the monthly invoice takes a couple of minutes.

Questions

How do I invoice recurring cleaning?

Most cleaners send one invoice per period, such as every two weeks or once a month, with each visit on its own dated line. It is less admin for you and easier for the client to check than an invoice per visit.

Should I charge for cleaning supplies separately?

Only if you agreed to. Most cleaners build everyday supplies into their rate and charge separately for specialist products or extra services the client asked for, each on its own line.
