Freelance invoice example
This copywriting project mixes a fixed fee, a per-item charge and one hourly extra. Amounts are illustrative, with no tax.
| Description | Qty | Amount |
|---|---|---|
| Website homepage copy | 1 × $650 | $650.00 |
| Product descriptions | 8 × $40 | $320.00 |
| Extra revision round | 2 h × $75 | $150.00 |
PO 5521. Net 30 terms. Bank details below; please quote INV-1026.
The invoice mixes three ways of charging and stays easy to read: the homepage is a project fee, the product descriptions are priced per item, and the extra revision round is billed by the hour because it was outside the agreed scope. The PO number in the note is what gets the invoice through the client’s accounts team.
How to fill in the freelance invoice template
- Name the project the way the client does, so their team can match it.
- Add the PO number if the client issued one. Many companies can’t pay an invoice without it.
- Describe what you delivered. “Homepage copy, two rounds of edits” is easier to approve than “writing.”
- For hourly work, show hours and dates or the period covered.
- Keep out-of-scope work on its own line, with a note of when it was agreed.
- Set the due date and payment details. Net 14 or Net 30 is common for business clients.
Freelance invoicing tips
- Ask about the client’s invoice process before the first invoice: who receives it, and do they need a PO or a vendor form?
- Take a deposit from new clients. Thirty to fifty percent up front is common for project work.
- Invoice on delivery, not when you remember. Terms count from the invoice date.
- Keep one numbering sequence across all clients so your records and taxes stay simple.
The freelance invoice app keeps client details and your usual services ready, and the payment terms guide has wording you can copy. For new projects, a quick estimate first helps; see estimate vs quote.
